Overall Responsibilities: Under the direct supervision of the Director of Operations, this position provides administrative support to ensure the successful coordination of the Eligibility Services for the Virginia B. Andes Volunteer Community Clinic, Inc.
Accountability:
Accountable to and receives directions from the Director of Operations.
Essential Functions:
- Complete DOH 110 training/certification through the Dept. of Health within 30 days of hire.
- Audit all eligibility forms to ensure accuracy and completeness and to ensure the patient meets the eligibility criteria for both the Florida State Department of Health and the Virginia B. Andes Volunteer Community Clinic, Inc.
- Scan the information and paperwork into the patients file in Amazing Charts.
- For errors found on the eligibility forms or the paperwork found to be incomplete:
- The patient will be contacted to obtain all correct and accurate information.
- When all information is received the paperwork will be rescanned.
- Ensure all forms are filled out completely and accurately. Certified Screeners that have been trained and are making mistakes on the Eligibility Screening forms will be retrained to ensure a correct understanding of the process, eliminating errors in the future.
- Once the eligibility forms are audited and corrected, the forms will be scanned into the Amazing Charts files of the patient.
- Paper forms will be kept on file for 2 months and then destroyed.
- Daily provider schedules are bundled, then scanned and emailed to the VBA Off Site Data Manager for further auditing and statistical reporting on Monday of the following week. The schedules are kept for a 2-month period and then destroyed.
- Review and correct any errors that have been detected from Amazing Charts by the Data Manager.
- Annual Audits are conducted onsite by the Florida State DOH to ensure accuracy of the Eligibility process. Attendance is required, along with the DOO for these audits.
- Responsible for maintaining up to date information on 3 separate spread sheets that will be located on the VBA Share Drive, as listed below:
- “Incomplete Packets” a spread sheet listing all the patients whose Eligibility Packets are incomplete.
- “Monthly Eligibility Screenings” a spread sheet of all screenings performed
- “Insurance Verification” a spread sheet listing all patients who have identified as having insurance.

Education and Experience
A degree from a recognized college or university preferred. 3-5 years’ experience in a related field can be substituted for a degree.
Excellent Customer Service Skills.
Working knowledge of relevant computer software (Email, Internet, MS Office, Excel, and Electronic Medical Records).

Salary: Commensurate with education and experience. Position is part-time, non-exempt position.
